I. Fixed Costs (Monthly)

These costs generally remain consistent, regardless of how many miles you drive.

Truck Payment / Lease i Enter your monthly truck loan or lease payment. If your truck is paid off, enter 0.

Trailer Payment / Lease i Enter your monthly trailer loan or lease payment (if applicable). If paid off or not owned/leased, enter 0.

Insurance (All Types) i Total monthly cost for all relevant insurance (truck, cargo, general liability, health, bobtail, etc.).

Permits, Licenses & Registrations i Sum of all monthly costs for permits, licenses (CDL renewal, business license), IRP, HVUT, UCR, etc. If some are annual, divide by 12 for a monthly estimate.

ELD / Software Subscriptions i Monthly cost for ELD service, accounting software, load boards, dispatch services, etc.

Phone & Internet i Monthly business phone and internet expenses.

Accounting & Legal Fees i Monthly cost for accounting, bookkeeping, or legal services. If paid annually or ad-hoc, average it out per month.

Parking / Yard Fees i Monthly costs for truck parking or yard rental, if applicable.

Office Rent / Utilities (if applicable) i Monthly cost if you have a dedicated office space and its utilities. Enter 0 if not applicable.

Other Fixed Costs i Any other consistent monthly expenses not listed above (e.g., specific loan payments, association dues).

II. Variable Costs (Monthly)

These costs fluctuate based on your mileage and operational activity.

Fuel (Diesel & DEF) i Total monthly spending on diesel fuel and Diesel Exhaust Fluid (DEF). This is often the largest variable expense.

Maintenance & Repairs i Total monthly spending on scheduled maintenance (oil changes, tires), unexpected repairs, parts, fluids, etc. It's wise to set aside an amount per mile or month for this.

Tolls & Weigh Stations i Monthly expenses for road tolls and weigh station fees.

Meals & Lodging (On-road) i Monthly costs for meals, drinks, and lodging while on the road (consider per diem allowances for tax purposes).

Broker / Dispatch Fees i Monthly fees paid to brokers or dispatchers if they are percentage-based. If it's a flat fee, consider including it in Fixed Costs.

Lumper / Loading Fees i Monthly costs for lumper services or other loading/unloading fees that are not reimbursed.

Other Variable Costs i Any other monthly expenses that fluctuate with mileage or usage (e.g., truck washes, cleaning supplies, scale tickets).

III. Mileage & Salary

Total Miles Driven (Monthly) i Total number of miles driven in the selected period. This should include ALL miles: paid (loaded) and unpaid (deadhead).

Owner's Salary / Draw (Monthly) i The amount you plan to pay yourself as a salary or draw from the business monthly. This is a crucial cost to factor in for true profitability assessment.
